# Project Startup Protocol

At the beginning of a new project, the team member facilitating the role of business development, and the person facilitating the role of account manager need to go through the Project Startup Asana Template together to ensure that everything required to start a new project has been completed: <https://app.asana.com/0/799112075265394/799112075265426>

Here's the list for reference:

* Confirm the paperwork
  * The check-in with Management if the SOW is in order. Example - it is signed, it has correct invoicing date, etc
  * This is for Lisa's (legal) and Jen's (accounting) benefit as well as smooth progression of the project
* Create VV group email for the project:
  * Ask Lisa or Puneet to create a group email alias
    * Ensure the group email can receive emails from an external party (non-vv email)
    * Example: <endeavor@vaudevilleventures.com>
    * Ensure all the required members are added
    * P.S - TN, MW & MF are added in all groups by defaults
* Create Google Drive:
  * Create the required folders
    * All drives needs to have 7 folders mandatory (atleast) i.e.
      * SOW/MSA,&#x20;
      * Meeting Notes,&#x20;
      * Materials from clients,&#x20;
      * Strategy decks,&#x20;
      * Project Plan,&#x20;
      * Research, &&#x20;
      * Ideation
    * The drive needs to be shared with all the members of the project with 'edit' option on
    * To ensure that under meeting docs, the first document is created using VV template for note taking
* Create Slack Channel
  * Ensure all members are added in that channel
  * If a client is needed to be added over to a slack channel, they should be invited as 'single-guest user'
  * Client-facing slack channel and internal slack channel should be separate and demarcated appropriately.&#x20;
* Create a Roster
  * Determine the VV team (Taylor will need to help determine staff assignments for the project.)
  * Create a team roster
    * All details of the people involved includes VV as well as the client side.
    * (title, email i'd, linkedin and phone #)
* Create the asana task inviting all members
  * To invite all the people involved
  * Ensure TN, MW & MF are added in the projects
  * Ideally, the asana could be helpful to look at early morning to know what is a priority and before/after working sessions
* Schedule Internal kickoff & Client kickoff:
  * Schedule an internal kick off, which includes a table read of the SOW
    * Internal kick off should include with all the required VV members of the project&#x20;
    * Kick off should establish the team and their roles, provide relevant client background info, review the scope and deliverables, review the high-level timeline, discuss the open items on the creative/strategic brief, establish questions that need to be addressed by the client&#x20;

  * Schedule a client kickoff
    * Once VV has finished the table-read, a client kick off should be scheduled
