Project Definition and Proposal
When we are pursuing a new client or starting a new project, we start with a definition and proposal. The following may be part of this phase:
Proposal
VV’s proposal format aims to be as simple and pragmatic as possible but each of these proposals is entirely custom to the client's need. We attempt to stick to the following format when writing any proposal:
Overview
Snapshot of what we are promising to deliver and how it supports our partners business goals
Activities & Deliverables
Line by line breakdown of the workstreams with the associated deliverables. Each workstream and deliverable should be attached to a timeline for delivery. These sprints should be approved by VV’s internal stakeholders to ensure that we are leaving ample time for quality work to be done.
Approach/ timelines & touchpoints
This section sets up the cadence of external check ins and working session as well as sets in stone a process for any ancillary prioritization by the client.
Budget & Terms
Here we put down the price tag for the work scoped out above as well as the length of time that will be conducted in. This section varies if the proposal is priced as a project or a retainment. We always add a clause at the end of each proposal outlining how any unforeseen costs that are accrued during this work will be billed to the client.
EX: printing, paid media buys, travel, ect
SOW
VV attempts to structure all proposals so they can easily be transitioned into an SOW with a the simple addition of a signature line and potential a staffing plan.
