Recruiting Process Protocol:

Note: All applicants that are considered should be added to the Applicant Tracker. Anyone that we offer a job to should be added to the VV Repository.

  1. Someone from the VV team identifies the gap in the team/for the project and raises it to Taylor so that it can be discussed either in the Staffing Meeting or a ’MW+MF+TN’ Meeting

  2. After looking at the current VV Network, if there is no one who fits the criteria, Taylor approves the decision of looking for outside hire and assigns someone to draft the job description. The position is added to the Applicant Tracker.

  3. That person should use the "Hiring Checklist" on Asana and assign roles and responsibilities for the process.

  4. The JD goes through review and iterations between the executive team and the stakeholders, then gets published on the agreed-upon locations. More details can be found in the Applicant Tracker.

  5. Once published, the owner monitors the posting for interesting applications and candidates

  6. Once an application is identified, a phone screen with a relevant senior team member is scheduled.

  7. Once the candidate clears the phone interviews and the decision is made to bring them in for an in-person interview, time is arranged for them to meet with the senior team, an account manager, and a strategist (unless it is a design or intern position).

    • After an interview

      • A homework assignment is given to the candidate followed by the reference check

      • All interview feedback should be entered and tracked in Lever

    • If it is an intern position they do not need to interview with the executive team

    • Design positions should start with the creative lead

  8. The decision on hiring is made between the executive and senior teams, ideally within 48 hours

    • The candidates can be hired full-time or on trial

      • If the candidate is hired (regardless of full time or trial), HR is informed

        • Complete and file online offer agreement

        • Confirm role and responsibilities; send links to relevant client docs

        • Send an email to hire regarding the first-day agenda, what to bring, and link to Handbook (for employees)

        • Send Justworks enrollment invitation & Harvest invitation
