Project Reporting Protocols

We’ve integrated Harvest time tracking into our standard processes, so that we can track project health. High level, that means we want to be able to see how much time we’re spending on any given project, and who is spending that time. It’s required that everyone put in all their time on projects, but it’s one of the primary jobs of the person facilitating the role of the project manager to report on that time and escalate that to management. This is the standard protocol for that process.

Submitting Time

  • Project manager will remind team members to submit their Harvest time every Friday with reminders on Mondays.

  • Project manager will approve time as it comes in, or flag it if for some reason it’s incorrect.

  • Incorrect time can be one of two things:

    • Team member on the project put in the wrong amount of time

    • Team member NOT on the project put time to the project, which means that they selected the wrong project to put time to.

Pulling Reports

  • Reporting is due weekly on Friday and should be sent to the weekly@ alias and address to Lindsey & Taylor

  • The report itself should be for the week prior, so if it’s Friday, 11/16, then the report should be for the week of 11/5.

  • Reports are to be generated as follows:

    • Go to Harvest and log in

    • Click on the “Reports” tab on the top

    • Click on the “Projects” tab on the page

    • Client the specific project

    • Select the correct week from the top

    • Select the “Team” tab

    • Hit the button to print (that’s the icon of a printer)

    • Save as PDF rather than printing

    • File name should be as follows:

      • Client-ProjectName-Harvest-00.00.00

        • Note: this is the date the report is generated, not the date range it’s referencing.

      • Example: EndeavorAudio-Retainer-Harvest-11.15.18

    • When the email is sent, ensure that any proper context is given:

      • “Hours are coming in as expected”

      • “Hours are exceeding expectations”

      • Note: In order to be able to intelligently comment on a project and the hours, the project manager needs to know the scope of the project and what the expectations are of the project and how people are spending their time.

  • In addition to a weekly, monthly reports need to be pulled with the same kind of reporting.

    • In order to pull the monthly reports, change the criteria from “week” to “month” on the report screen, and then select the appropriate date range.

    • All the remaining protocol rules apply.
