VV Templates Overview
The project proposal, otherwise known as a SOW (“Scope of Work”), is an overview of the proposed project, detailing the structure, workstreams, deliverables, and timing. The project proposal will be shared with and approved by the client before beginning work.

A project plan is used when the project has multiple phases. Each phase will be broken down into their respective objectives and activities, along with a detailed weekly schedule of meetings and activities. The project plan is shared with the client.

The Asana project kickoff is a project template in Asana with a set of tasks for everything that needs to be done when starting a new project, e.g “create a slack channel”, “create a team roster.” This template is for the business development team to use as a hand-off to the VV team working on the project. The template should be duplicated into a new project and the tasks should be assigned to the appropriate team members.
The internal kickoff deck is a set of slides used internally when starting a new project. The slides lay out the team assignments, client overview, project overview, strategic brief, schedule/hours, and next steps. These slides are used so the entire team can be briefed on the project and start off on the same page.
The internal kickoff doc is the document version of the above slides. The information is generally the same, but the document goes into more detail surrounding client stakeholders and staff. Whether the deck or doc is used is dependent on the internal team’s preferences.
The client kickoff deck is a set of slides shared with the client when starting a new project. The slides lay out the vaudeville and client teams, our guidelines for project success, the scope of work, project plan schedule, Q&A, and next steps. These slides should be sent following the internal kickoff, so the entire client team can be briefed on the project and start off on the same page.
The client kickoff doc is the document version of the above slides. The information is exactly the same. In general, the deck would be sent, but it’s dependent on the client.
The project plan timeline is a spreadsheet used for weekly scheduling of deliverables. The timeline should be shared with the client and other members of VV (Taylor, etc.) so everyone can be kept up-to-date on the project’s progress.

The project tracker is a spreadsheet that can be used for an overview of the status of each workstream in a project. They classify each workstream as "Active," "On Hold," and "Completed" and include a description, updates from the week, due date, assignee, notes, and relevant links. This is helpful as an "at a glance" update and can help drive Weekly Update emails.

The agenda/notes template should be used for client calls and in-person meetings. The doc details the attendees, agenda, dial-in info (optional), key takeaways, action items, and rough notes. At least one person should be responsible for taking notes during each client call and meeting. The notes should be refined into key takeaways and action items and circulated to the VV team following the call/meeting. The action items should also be included in the recap note sent to the client.

The weekly update is an email sent to the client and internal VV team, detailing the status of the project, open items, meetings/deliverables this week, and upcoming meetings/deliverables. Relevant members of the team should review the update before it’s sent, e.g the account manager if separate from the project manager.
Our design team creates fun and distinct illustrations that can be used throughout decks and other project materials. The most common ones can be found in this folder.
The creative brief is a document made for the creative team to give them a more in-depth overview of the creative project and client needs, e.g if it’s a rebranding assignment. The doc can also include some market research, such as competitors in the industry.
The document directory should be created as an overview of a project and a way to give everyone involved easy access to important artifacts related to the project. This will also be a helpful resource in onboarding any new team members.
