Vacation Coverage

We encourage everyone to take the rest and relaxation they need by scheduling vacation from time to time. In order to ensure that management, co-workers, clients and key vendors are sufficiently made aware of and prepared for your PTO, please adhere to the following process when taking time off.

  1. Schedule PTO in Justworks for approval as soon as possible so that your PTO will be reflected on the Vaudeville calendar.

  2. Depending on the projects you are working on, communicate your PTO to the appropriate VV team members and clients (as appropriate) at least a week ahead of your first day out and ensure there will be proper coverage.

  3. Make an announcement regarding your upcoming PTO In the staff meeting the week before your PTO and post reminders to Slack.

  4. If your PTO is longer than 3 business days, at least a week ahead of your PTO, draft a “Vacation Coverage Plan” documenting the projects you’re working on and any outstanding assignments or issues that may come up during your PTO. Designate a backup contact with regard to certain projects and provide links to relevant documents.

  5. Share this document with Taylor and with the PM of each relevant project. Make adjustments to the information as appropriate and ensure key stakeholders have the most recent version prior to your time off.

  6. In every case, before you leave, please set your email vacation responder directing inquiries to the relevant parties and include the dates you will be OOO.

  7. If you are available for urgent inquiries, please leave the best number to reach you at. But we promise, this will only be used as a last resort.
